Swedish Health Services Patient Services Coordinator-Diabetes Education Center in Seattle, Washington


Where you work matters! Swedish Health Services is looking for a full time Patient Services Coordinator (1.0 FTE, Day Shift) in our Diabetes Education Center at Swedish First Hill in Seattle, WA.

The schedule for this role is M-F; 8:00-4:30pm PST. NO WEEKENDS.

We are seeking a Patient Services Coordinator who will handle all incoming telephone calls in a prompt and courteous manner, transfers calls to appropriate person(s) within the clinic or takes detailed messages. Schedule patients' appointments in-person at the reception desk or over the telephone. Also provide training and orientation of new staff and to ensure smooth clinic, patient flow by greeting and directing patients to their appointments by preparing the daily clinic schedule, by maintaining patients files and records


In this position you will:

  • Communications: Responds to all telephone calls and/or TTY line requests, including routing of calls and handling of appropriate message taking. Answers patient appointment questions

  • Scheduling: Schedules appointments in person or over the telephone. Schedules interpreters and other special patient needs for services. Produces printed patient and Educators schedules. Maintains accurate schedules. Provide daily schedules for Nurses and RD’s to review. Maintains and references appointment cancellation waiting list. Review all referrals before scheduling patient appointments

  • Appointments: Checks patients in upon arrival for appointments; obtains copy of insurance card, verifies patient demographics and insurance information. Reviews and prepares daily fee tickets for the next day’s appointments. Prepares charts for the next day’s clinic schedule with individual flow and charge sheets. Document canceled and missed appointments on the fee ticket and visit log. Makes daily patient appointment reminder calls

  • Mailings and Distribution Preparation: Prepares and mails no-show letters and makes appropriate notes in patient chart and in computer. Prepare mail for outgoing and in-house delivery. Prepare mail for outgoing and in-house delivery. Assemble patient teaching folders, binders and new patient packets. Distribute mail and faxes

  • Medical Records Management: Copy patient records as requested. Obtain additional patient records as appropriate from other offices, clinics, etc. Handle confidential information appropriately. Maintains medical records by pulling, filing, preparing and updating charts as needed

  • Data Entry: Data entry of new patient registration data into system. Data entry charges accurately and in a timely manner. Corrects and updates all mail returns in computer and in patient charts

  • Customer Service: Demonstrate respect for the ideas, opinions and feelings of others. Assume responsibility for effect of own behavior on others. Use supplies prudently in a fiscally aware manner. Maintain waiting room neatness during clinic sessions. Work as a team member; help co-workers when able.

  • Personal Development: Seek help with problem solving, as needed. Give and willingly receive constructive feedback. Foster open communication through personal example. Attend and participate in staff meetings, department and hospital orientations. Maintains patient confidentiality at all times. Demonstrate basic knowledge of procedures and location of emergency exits, fire extinguishers, emergency phones, and department, Clinical and Administration manuals.


Required qualifications for this position include:

  • 1 year customer service experience involving a multi-line phone system with a high volume telephone environment and extensive computer usage.

  • Basic computer knowledge .

Preferred qualifications for this position include:

  • Experience in an Ambulatory clinic.
