Swedish Health Services Operations Coordinator - Case Management First Hill in Seattle, Washington


Swedish Medical Center is looking for an Operations Coordinator (1.0 FTE, Day Shift) to work in Case Management - Swedish First Hill in Seattle, WA.

This position is responsible for independently coordinating and performing complex and specialized administrative, office, and secretarial duties in carrying out department accountabilities. These duties may include, but not be limited to responsibility for all department administrative accountabilities including program planning schedules and status, leading administrative staff in carrying out department objectives, acting as a liaison for internal and external customers, documentation maintenance, data maintenance and reporting, coordination of projects, meetings, and reviews/conferences, budget planning and management, purchasing of equipment and office supplies.

In this position you will:

  • Program Planning: • Participate with department management in the planning and management of one or more department accountabilities. • Maintain master schedules and status of department accountabilities, individual projects or requirements. • Act as the primary department liaison for internal and external customers. Act as primary contact for administrative and/or specialized information regarding department accountabilities and/or projects. • Ensure department information is distributed and maintained with appropriate departments and external customers.

  • Administration: • Manage the maintenance, review, and updating of department documentation, which may include contracts, standards, policies and procedures, legal or corporate regulatory requirements. • Maintain department records/databases; enter, extract, and submit data for department, state/federal, or affiliation requests or requirements and statistical reporting. Create and distribute department reports. • Coordinate reviews, meetings, and conferences; notify attendees, create agendas, distribute materials, take and distribute meeting minutes and action items. • Coordinate department projects. Identify necessary resources, management workflow, prepare status reports for department management. • Perform specialized administrative duties such as maintaining department/staff/associated staff calendars, resolve scheduling conflicts and reschedule meetings as necessary; word processing, author and edit complex documents, prepare spreadsheets, forms and other documents. • Plan department budgets, monitor department accounting records such as revenue and charges. • Purchase department equipment and supplies.

  • Lead Responsibilities: • Manage and delegate department work requirements among lower level department staff.• Notify department management of staffing requirements, complete staffing paperwork, interview and make hiring recommendations to department management.• Orient and train new administrative staff support.• Evaluate assigned personnel against approved job descriptions, make any recommendations and/or coordinate staff status changes to department management including disciplinary action and termination.


Required qualifications for this position include:

  • Bachelor's Degree Or equivalent educ/experience

  • 5 years Job related experience including responsibility for coordinating complex administrative projects for management and associated professionals in a major organization.

  • Demonstrated experience in overseeing work of other personnel.

Preferred qualifications for this position include:

  • Health Care experience.
