Providence Health & Services Senior Administrative Assistant in Gardena, California
Providence is calling a Senior Administrative Assistant (1.0 FTE, Day Shift) to work in the Institute for Human Caring at PSCS Divisional Services in Gardena, CA.
This position is responsible for providing ongoing administrative support services of a multi-part nature for a group of senior management at the Institute for Human Caring. This position performs work that is varied, generally secretarial in nature, including some project management. The activities of this position include managing calendars, correspondence, meeting and agenda preparation, office space maintenance, and other logistical matters. The work may also include some special projects. It is anticipated that the person holding this position will communicate regularly with many of the organization's management team and will represent their supervisor in a positive and professional manner.

In this position you will:
Develops daily plans to carry out assigned activities and projects.
Coordinates the office of the individual(s) they support. Assures adequate inventory of supplies, timely scheduling of activities, presence and ongoing use of appropriate record keeping systems, and effective work flow through the office.
Performs secretarial functions in support of meetings as assigned. Support activities include preparation of draft agendas; electronic distribution of meeting materials; documentation of meeting discussions, and coordination of follow-up reports as appropriate.
Schedules meetings (group and individual); makes travel arrangements as necessary.
Uses word processing software, spreadsheet software, and various presentation software options to complete assignments with timeliness and accuracy.
Position provides appropriate referrals to matters as they arise, or informs their supervisor(s) when a situation warrants direct attention.
Planning: The position is responsible for basic planning activities related to secretarial and project-based assignments. Also responsible for recommending efficient and accurate procedures to address work flow through their area of responsibility.
Assist with onboarding of new team members including access requests, scheduling onboarding, and member orientation
Maintains office supply inventory and ensures office equipment and office space is in working condition. Requests maintenance when needed. Maintains and monitors the general upkeep of office space.
Greets and creates a welcoming environment to visitors (internal and external) of the Institute, answers phones, responds to questions, comments or concerns; explains programs, policies and procedures within scope of authority and directs visitors to appropriate individuals.
Required qualification for this position include:
Associate's Degree in Business or a related field
Four (4) years Executive or senior administrative assistant experience, including at least 3 years working directly for a senior executive
Five (5) years experience with Microsoft Office suite, as well as high degree of comfort with technology
Preferred qualification for this position include:
- Bachelor's Degree in Business
