We are looking for a Specialty Clinic Scheduler for Rehabilitation Administration at St. Jude Medical Center.

Location: Fullerton, CA

Work Schedule: Full time - 80 Biweekly Hours

Shift: 8-hour, Days

Job Summary:

Under direct supervision using standard work, policies, and procedures the coordinator provides a variety of services to our patients including scheduling, reception, medical records, authorizations, billing and clerical functions. Promotes positive working relationships with patients, families, physicians and coworkers, demonstrating teamwork to ensure excellent patient care.

Essential Functions:

  • Reception:

  • Greets patients and visitors and responds to their needs in a pleasant and timely manner.

  • Arrives and checks in patients.

  • Reviews all paperwork, asking for signatures/acknowledgments where appropriate and scans into MEDITECH.

  • Assists patients and communicates any discrepancies or late arrivals to clinical department.

  • Demonstrates knowledge and understanding of department services and tests offered.

  • Facilitates front office duties to create a smooth, well managed day, minimizing wait times for patients.

  • Scheduling:

  • Responds to new referrals in a timely manner.

  • Schedules patient consultations and follow-up appointments.

  • Performs reminder calls and follow up phone calls.

  • Monitors and updates schedule in a timely manner.

  • Reschedules appointments as necessary.

  • Answers, triages and routes incoming calls and messages to appropriate personnel.

  • Schedule procedures and surgeries as needed.

  • Financial Functions:

  • Obtains initial and continued authorizations from providers prior to patient appointment.

  • Completes clinic billing.

  • Registration:

  • Completes registrations in MEDITECH to ensure proper billing for services.

  • Pre-registers all patients and assists with full registration as needed.

  • Run reports to verify that registration status matches charges.

  • Clerical Functions:

  • Functions may include: typing, faxing, copying, maintaining charts, emailing and running reports as requested.

  • Generates and tracks statistical information, collates outcome data as directed by supervisor.

  • Medical Records:

  • Assists with faxing orders, chart preparation as needed.

  • Scans all appropriate information into the medical record.

Skills:

  • Microsoft Word, Excel, and Outlook.

  • Able to communicate effective, both verbally and in writing.

  • Positive, dynamic relationship skills.

  • Ability to organize and follow through consistently and effectively.

  • Energetic and decisive; demonstrates ability to work independently and be accountable to deadlines in a fast paced environment.

  • Ability to adjust to changing priorities.

  • Medical Terminology.

  • Demonstrate ability to operate and troubleshoot computers, printers, and FAX machines.

  • Knowledge of MEDITECH, Touchworks, IDX and PORTAL.

Minimum Position Requirements:

Experience: 6 months experience in medical and/or clerical field.

Preferred Position Qualifications:

Experience:

  • Experience with MEDITECH/Medilinks/Touchworks.

  • Experience with scheduling clinic visits, procedures and surgeries.

  • Authorization and billing experience.

Licenses/Certifications: Basic Life Support certification.
